In 2019, even before stay-at-home orders forced offices to close, a report by Upwork projected that <a href=\"https:\/\/www.upwork.com\/press\/2019\/03\/05\/third-annual-future-workforce-report\/\" target=\"_blank\" rel=\"noopener noreferrer\">78 percent<\/a> of companies would have distributed teams by 2028.<br \/>\nSucceeding as a team working remotely comes down to open, constant communication and building trust. Back in March, 4,300 members of ADT\u2019s Contact Center\u00a0teams learned how to work from home almost overnight when the COVID-19 pandemic hit. \u201cBecause it had to happen so fast, we just had to learn on the fly and overcome our challenges quickly,\u201d Knoxville,\u00a0Tennessee-based\u00a0unit manager Nayeshah Glover recalls.<br \/>\nContact Center coaches Todd Boren and Bo Russell and their manager, Glover, have each spent more than a decade at ADT, the legacy tech company that\u2014besides being synonymous with home security\u2014is a high-growth brand in the automation and smart home solutions space. Here\u2019s what they\u2019ve done to ensure their 90-person Knoxville department (made up of seven team managers with 10 to 15 agents on each team) stays as productive, engaged, and collaborative at home as they were in the office.<br \/>\n[the_ad id=&#8221;1745&#8243;]\n<\/div>\n<p>1. Walk the Virtual Floor<\/p>\n<div>\nIn an office, \u201cyou\u2019re just naturally more social, walking by coworkers, saying good morning, and asking about their kids,\u201d Glover says. Taking those interactions over to a chat room or DM, she adds, can feel awkward at first, but it goes a long way in helping teammates feel less alone.<br \/>\nIn addition to regular weekly video meetings with the whole team, Glover keeps the one-on-one interactions going every day via instant messaging. \u201cI\u2019ve made it a habit to go down my chat line and individually reach out to anyone I haven\u2019t checked in on in a while.\u201d Russell seconds that sentiment: \u201cIt\u2019s important for us to reach out to each employee every day and ask how they\u2019re doing, especially as a manager.\u201d<\/p>\n<h3><strong>Pro Tip <\/strong><\/h3>\n<p>Whatever communication tool you use, whether it\u2019s Slack or an internal messaging platform, keep chat channels active. Drop in shout-outs to team members, celebrate birthdays, and share uplifting news.\n<\/p><\/div>\n<p>2. Create a Safe Space<\/p>\n<div>\nGlover and her team make it a point to ensure that everyone feels a sense of safety, inclusion, and well-being\u2014especially while working in the midst of a pandemic. \u201cThe very first thing I tell a new hire is, \u2018These are your brothers and sisters\u2014we\u2019re a family,\u2019\u201d says Glover. \u201cWe\u2019ve got your back; this is a safe zone. If you ever need to scream, cry, vent, do whatever you\u2019ve gotta do\u2014we got you. We\u2019ll get through it together.\u201d<br \/>\nA worker\u2019s mental and physical health should always come first, and a manager\u2019s job is to make that clear. \u201cLetting your reports know how much you care is huge when we\u2019re in a virtual world,\u201d says Russell. He and Boren regularly encourage their direct reports to take breaks and step away from their computers during the workday, help them identify their work from home challenges, and provide ideas for healthy routines and ways to cope.<br \/>\n[the_ad id=&#8221;1630&#8243;]<\/p>\n<h3>Pro tips<\/h3>\n<ul>\n<li>Discover and acknowledge the unique ways people on your team learn and work. For instance, it might be helpful to know things like if someone is a morning person, if they consider themselves introverts or extroverts, and what parts of the job they love best. Make it a fun activity during a regular team meeting to help team members get to know each other\u2019s preferences and styles.<\/li>\n<li>Respect employees\u2019 work-life balance. If you\u2019re shooting over a late-night email, consider adding \u201cno need to reply right now!\u201d to the subject line.<\/li>\n<\/ul>\n<\/div>\n<p>3. Nip Issues in the Bud<\/p>\n<div>\nKeeping productivity up when you\u2019re not together is a challenge. If you\u2019re a manager, pay close attention to the outcomes and results of the work the team\u2019s doing. And when problems surface, you have to look into them. \u201cI can\u2019t just look over my computer and see what\u2019s happening,\u201d Boren says. \u201cI rely on the data that\u2019s coming in and frequent conversations with my direct reports to make sure we\u2019re hitting our goals.\u201d<br \/>\nWhen it comes to making progress as a team, the main thing, according to Glover, is having \u201cconstant, open communication and feedback, as many eyes as possible on the data, and a high level of accountability with everyone. Lead by example,\u201d she says. \u201cI can\u2019t ask you to handle a task, and meanwhile, I\u2019m unreachable for five hours.\u201d<\/p>\n<h3><strong>Pro Tip<\/strong><\/h3>\n<p>\u201cInspect what you expect,\u201d says Russell. \u201cDon\u2019t set up goals with a direct report and just revisit [them at] your next formal one-on-one. Regularly remind them that you\u2019re here to help them succeed in any way you can.\u201d For Russell, that\u2019s listening in on customer calls and letting his agents know he\u2019s always there for extra support if needed.\n<\/p><\/div>\n<p>4. Meet Every New Hire<\/p>\n<div>\nThere\u2019s a simple solution for welcoming a new hire\u2014whether it\u2019s a Zoom meeting or a one-on-one Slack\u2014in a non-awkward way: Don\u2019t talk about anything work-related during your first interaction, advises Russell. \u201cBuild that foundation and get to know the person\u2014what their life is like outside of work, what they like to do,\u201d he says. \u201cWe can\u2019t effectively lead someone or collaborate alongside them if we haven\u2019t gotten to know who they are.\u201d<br \/>\n[the_ad id=&#8221;1902&#8243;]<\/p>\n<h3><strong>Pro Tip<\/strong><\/h3>\n<p>When a new hire starts, managers should set up a quick, casual video call with each member of the team as a way of introduction and welcoming them on board. Ahead of time, provide your new staffer with a document that lays out the organizational structure of the team, department, or company. (Bonus points for including photos and fun facts\/bios of the team for natural conversation starters!)\n<\/p><\/div>\n<p>5. Keep It Fun<\/p>\n<div>\n\u201cThe balance of lightheartedness with the underlying understanding that we have a job to do and customers to help protect is what makes this remote team successful,\u201d says Boren. \u201cKeeping it fun wherever we can helps everyone stay engaged and interested, which ultimately creates a better customer experience.\u201d<br \/>\nIt might seem hard to replace IRL happy hours, but in the virtual world, it\u2019s the little things that keep the culture alive\u2014like rolling into Zoom meetings with a clever new background. \u201cI just added a <em>Top Gun<\/em> one,\u201d says Boren. \u201cIt creates buzz and excitement and gets people involved\u2014someone just requested Harry Potter.\u201d<\/p>\n<h3><strong>Pro Tip<\/strong><\/h3>\n<p>Set up a regular virtual happy hour or trivia night, host an hour of online games, or <a href=\"https:\/\/www.sweetfarm.org\/goat-2-meeting\" target=\"_blank\" rel=\"noopener noreferrer\">invite a goat<\/a> to your team\u2019s weekly meeting\u2014anything that nurtures camaraderie among the team.<br \/>\n[the_ad id=&#8221;1884&#8243;]<br \/>\n[the_ad id=&#8221;1904&#8243;]\n<\/div>\n","protected":false},"excerpt":{"rendered":"<p>As more companies embrace the idea that remote work could become semi-permanent, one thing is clear: The way we work is officially changing.
