Not only did all your hard work\u2014editing your resume, writing a cover letter, putting together writing samples, and filling out endless forms\u2014pay off, but you\u2019re finally going to meet the person (or people) hiring for your role. Or, uh, well, hear their voice at least.<br \/>\nBefore you go from ecstatic to panicked wondering how in the hell you\u2019re going to knock the interviewer\u2019s socks off, we\u2019ve compiled all the phone interview tips you could ever need to get yourself prepared\u2014and guarantee you\u2019ll get to meet the hiring manager in person in the next round.<br \/>\n<strong>Before Your Phone Interview<\/strong><br \/>\n<strong>1. Get Clear on the Details<\/strong><br \/>\nThis means knowing:<br \/>\nThe time of your phone interview (and in what time zone!)<br \/>\nWho exactly you\u2019ll be speaking with and their role (if there\u2019s more than one person, figure out what order you\u2019ll be speaking to them in)<br \/>\nWhat number they\u2019ll be calling from<br \/>\nWhat number they\u2019ll be calling you at (if you have two or more phone lines)<br \/>\nAny other contact information (like their email or the company\u2019s main line) you may need if the call drops.<br \/>\nIf this wasn\u2019t spelled out to you, just ask! There\u2019s nothing wrong with getting some clarity on something that affects both of your schedules (and you\u2019ll be grateful you didn\u2019t have to deal with a missed call or meeting that started late).<br \/>\nYou can send the following email:<br \/>\nHi [Name],<br \/>\nI\u2019m excited to speak with you on [date]! I just wanted to double check what time we\u2019re chatting at (I have [time] [time zone] on my calendar) and what number you\u2019ll be calling from. Please let me know if there\u2019s anything else you need from me before our call.<br \/>\nThanks so much!<br \/>\n[Your Name]<br \/>\nOr you can follow up on your previous conversations with:<br \/>\nHi [Name],<br \/>\nJust confirming we\u2019re chatting on [date] at [time] [time zone] and you\u2019ll be calling me at [phone number]\/I\u2019ll be calling you at [phone number]? Let me know if I have that schedule wrong.<br \/>\nThanks,<br \/>\n[Your Name]<br \/>\nOh, and if you need to reschedule for whatever emergency reason, use this email template and be proactive\u2014in other words, don\u2019t wait until the last second to cancel if you can help it.<br \/>\n<strong>2. Do Your Research<\/strong><br \/>\nTreat it like any other interview\u2014and prepare, prepare, prepare. Too many people make the mistake of winging a phone interview thinking it\u2019s not as important or they can handle it no problem, when in reality they find themselves stumbling over their answers and messing up their chances.<br \/>\nFirst, give the job description a gander to understand exactly what role you\u2019re interviewing for and what the interviewer may ask you about over the phone.<br \/>\nThen, do some digging into the company. Browse their website, Google them to gather some recent news updates, read their employee testimonials on other sites (like The Muse!), and scroll through their social media. Get a sense of not just what your specific role would entail and what the team does, but the company\u2019s history, mission, and overall vibe. This will help you in crafting tailored interview answers and asking thoughtful questions.<br \/>\nAs Muse writer and former recruiter Rich Moy notes in an article about what recruiters look for in a phone interview, you don\u2019t want to just regurgitate the organization\u2019s \u201cAbout\u201d page. Prepare Your Salary Number<\/strong><br \/>\nYes, this is might come up, especially if the phone interview is an initial screening call with HR. So you\u2019ll want to have a smart answer ready. (But if they don\u2019t ask, you\u2019ll probably want to wait for a later round to bring it up yourself.)<br \/>\nFigure out what you\u2019re worth by using a salary calculator and reading this article and this one. Then practice how you\u2019ll convey that request by reading this article on discussing salary requirements.<br \/>\nAnd check out this article if you find yourself being asked the (illegal in many places!) question, \u201cWhat\u2019s your current salary?\u201d<br \/>\n<strong>5. Create a Cheat Sheet<\/strong><br \/>\nAll this information shouldn\u2019t just sit inside your head. One, because it doesn\u2019t have to\u2014the beauty of phone interviews is that you can have notes right in front of you without the interviewer having any clue. And two, because we often freeze up when we\u2019re nervous, so why put yourself in the position of forgetting everything?<br \/>\nTake the research you did, the answers you prepared, and the questions you have and jot them down into a notebook, on a Post-it, or in a one-page document (we even made a cheat sheet for you!). And stick to bullet points\u2014you certainly don\u2019t want to be reading your answers off like a script. That\u2019ll just make you sound inauthentic and frankly make the interview more stressful.<br \/>\n<strong>6. Print Out Other Relevant Documents<\/strong><br \/>\nIn addition to your cheat sheet, it might help to also print out a copy of your resume and cover letter, as well as any other information you think you might need to reference (like your salary research). As Muse writer Aja Frost points out, the interviewer may bring up points you made in these documents, and you\u2019ll want to know what they\u2019re talking about.<br \/>\n<strong>7. Gather Your Tools<\/strong><br \/>\nThis can consist of:<br \/>\nA charger<br \/>\nHeadphones<br \/>\nA notepad and pen\/pencil (or a laptop, if that\u2019s how you prefer to take notes\u2014just don\u2019t spend the whole conversation tapping away because that can be distracting)<br \/>\nA water bottle<br \/>\nA toy to play with (if it helps you focus\u2014I\u2019m a big fan of the fidget cube)<br \/>\n<strong>8. Dress the Part<\/strong><br \/>\nSure, taking a phone interview in your pajamas sounds appealing\u2014in fact, it\u2019s why we love them so much\u2014but dressing the part can only add to your confidence. So resist the urge to wear sweatpants and opt for an outfit that makes you feel like the kind of person who could rock it in this job. Or at least an outfit that\u2019s comfortable enough and still makes you feel like a professional. (If you\u2019re taking the call in the office, you\u2019ll check this box off no problem!)<br \/>\n<strong>9. Find a Quiet, Comfortable, and Convenient Place<\/strong><br \/>\nAt home, this may mean locking yourself in a room that\u2019s away from family, roommates, or pets. At work, this may mean booking yourself a conference room or Breather, finding a coffee shop nearby, or settling for your car or a quiet side street. Wherever you decide to go, scope it out a day or two early for all the necessities\u2014a comfy seat (if available); minimal distractions, interruptions, or foot traffic; good phone service; and an outlet if possible.<br \/>\n<strong>10. Cut the Distractions<\/strong><br \/>\nThis goes hand in hand with finding your ideal phone interview location. Book time on your calendar so people know they can\u2019t bother you during that time (and make the event private or give it a fake name so your boss doesn\u2019t find out what you\u2019re up to), lock your bedroom door so your roommates or kids don\u2019t come waltzing in, and silence any notifications on your phone or laptop. If you\u2019re in a public place, try facing away from a window or toward a wall so you aren\u2019t distracted by people walking by or things happening around you.<br \/>\nAnd\u2014this is key\u2014use headphones! They\u2019ll minimize surrounding noise and help you to further focus on the conversation\u2014and only the conversation.<br \/>\nBy the way, please do not eat or chew gum during your interview. You get distracted and lose your train of thought. You forget everything you\u2019ve practiced and have zero things to say.<br \/>\nThese are unlikely to happen, but knowing what to expect can help you overcome your worst fears and respond proactively should you need to.<br \/>\nHaving the essentials in place\u2014like a phone charger and cheat sheet\u2014can do wonders for your confidence. And if you\u2019re worried you\u2019ll run over, make sure your space is available and booked an extra 15-30 minutes before and after the scheduled time.<br \/>\nBeing afraid of talking on the phone is normal, so if that\u2019s your biggest worry the best thing you can do is practice\u2014over and over again until nothing surprises you. Set a Friendly (and Professional) Voicemail Message<\/strong><br \/>\nIdeally you\u2019ll actually pick up the phone when the interviewer calls. But in case you can\u2019t for whatever reason, you\u2019ll want to make the best impression you can offline\u2014and this means setting up a professional voicemail message.<br \/>\nTry something like: \u201cHi, you\u2019ve reached [Your Name]. I\u2019m sorry I missed your call. Please leave me a detailed message and I\u2019ll return your message as soon as possible. Thanks!\u201d<br \/>\n<strong>13. Charge Your Phone and Do a Test Run<\/strong><br \/>\nYou definitely should make sure your phone is at full battery going in\u2014because no one wants a dropped call. An hour or so before your interview is scheduled to start, also make sure it\u2019s working properly and the signal is OK by calling up a friend or family member and asking if they can hear you alright.<br \/>\n<strong>During Your Phone Interview<\/strong><br \/>\n<strong>14. Start Off Strong<\/strong><br \/>\nFirst, the essentials: Be on time and pick up on the second or third ring.<br \/>\nThen, nail your introduction. You can start off with something like, \u201cHello, this is [Your Name]\u201d or \u201cHi [Name], this is [Your Name]. Thanks for calling, it\u2019s great to speak with you.\u201d Basically, you\u2019ll want to say something that\u2019ll set the right tone off the bat. Saying \u201c\u2019Sup\u201d or not making it clear it\u2019s you speaking will immediately make the interviewer question your professionalism and communication skills.<br \/>\n<strong>15. Have Impeccable Manners (and Know How to Small Talk)<\/strong><br \/>\nYou don\u2019t have to jump straight into business! At least not if they aren\u2019t. Feel free to ask them how their day\u2019s going, talk about the weather or your weekend, or try a conversation starter if it seems natural. Participating in small talk is a polite and easy way to keep the good vibes rolling and connect with your interviewer\u2014just keep it brief and business appropriate.<br \/>\nAlso, if some kind of interruption or background sound occurs, apologize and address it\u2014better to pause than to continue on obliviously while the interviewer is straining on the other end trying to understand what you\u2019re saying. If background noise is unavoidable, mute yourself when you\u2019re not speaking.<br \/>\n<strong>16. Lean Into the Pauses<\/strong><br \/>\nWith technology and not seeing someone face-to-face come all sorts of awkward social moments\u2014delayed or overlapping responses being one of them. So don\u2019t be afraid of moments of silence\u2014it\u2019s OK to let the conversation breathe a little.<br \/>\nWhen your interviewer asks a question, wait a beat or two before answering them to ensure they\u2019re finished speaking. If you can\u2019t hear them, politely say, \u201cI\u2019m sorry, could you repeat the question?\u201d or \u201cJust to make sure I understood you, you asked [question]?\u201d<br \/>\nAnd if they interrupt you, stop talking to let them finish before speaking again. If they\u2019re doing this, either they\u2019re dealing with technical difficulties or they want to refocus the conversation. You\u2019ll want to transition with them so everything you say is clearly heard and understood.<br \/>\n<strong>17. Make Sure There\u2019s Excitement in Your Voice<\/strong><br \/>\nOne of the biggest mistakes people make in phone interviews is not sounding energetic and excited enough. Because the person can\u2019t see you, you have to work extra hard to show that you\u2019re enthusiastic about the role and meeting with them.<br \/>\nTo help convey this, use gestures and smile while you talk. Both will automatically inject emotion into your voice. Hey, get up and walk around if that keeps you lively. And if something\u2019s funny, laugh! That\u2019s allowed!<br \/>\nOf course, you\u2019ll want to balance this out by not sounding fake. Keep an eye on how loud you\u2019re speaking and try to lower the volume when you find yourself getting too animated. Practice and getting feedback from peers can help with nailing this down.<br \/>\n<strong>18. But Talk Slowly<\/strong><br \/>\nI once interviewed with someone who naturally spoke super fast. I loved her energy, but because her words came out so rapid-fire a lot of our conversation consisted of me asking, \u201cCould you repeat that?\u201d<br \/>\nSelf-awareness is crucial when you\u2019re talking on the phone. With only your voice to carry you through, you want to make sure everything you\u2019re saying is clear and concise\u2014so catch yourself when you start to ramble or chatter a mile a minute. If you have a stutter, for example, this is especially helpful to practice beforehand.<br \/>\n<strong>19. Listen (and Sound Like You Are)<\/strong><br \/>\nDon\u2019t be that person who makes the interviewer repeat their questions again and again\u2014that\u2019s annoying for everyone involved. Pay attention, practice active listening, and don\u2019t multitask (a.k.a., don\u2019t be working on something else, or even reading over your own notes, while the other person is talking). This means repeating relevant points (write them down if you really want to remember them) and using fillers like \u201chm,\u201d \u201cOK,\u201d \u201cyes,\u201d and \u201cright\u201d to express that you\u2019re taking it in.<br \/>\n<strong>After Your Phone Interview<\/strong><br \/>\n<strong>20. Jot Down Important Points<\/strong><br \/>\nTake a minute or two after you hang up to jot down any last notes you want to remember. Maybe they mentioned a new product they launched that you want to check out, or something about the culture you want to follow up on via email, or a person to reach out to. You won\u2019t regret having those in writing when you go to write your thank you note or walk into the next round of interviews.<br \/>\n<strong>21. Send a Thank You Note<\/strong><br \/>\nDo this, and do it soon after your call! The same day is ideal, but a day after at the latest. There are several boxes you\u2019ll want to check:<br \/>\nThank them for speaking with you<br \/>\nHighlight conversation topics that stuck out to you<br \/>\nReemphasize your passion for the role and company<br \/>\nKeep it short and sweet<br \/>\nHere\u2019s an example:<br \/>\nHi Jen,<br \/>\nIt was great speaking with you over the phone today. I really enjoyed learning more about The Muse\u2019s mission to help people find companies and careers they love, and especially enjoyed discussing your vision for expanding the consumer product. You\u2019ll want to keep several things in mind.<br \/>\nFirst off, this is still an interview. It shouldn\u2019t be a formal conversation (nor should most interviews be super formal), but you should still do your research, practice some responses, and prepare your own questions.
